Job Description

Purpose of Position To provide secretarial/clerical support for department staff; including physicians, nurses, nurse practitioner, therapists, physics department, and department manager/supervisor. Description

1. Answer and screen incoming departmental telephone calls. Greet and register patients in department database. Verify insurance coverage and demographic information at time of check in. Schedule and re-schedule appointments including follow-ups, simulations and treatment appointments in two systems.
2. Take referrals from various medical offices and hospitals for new patients, schedule appointments within an appropriate timeframe and obtain all pertinent information necessary prior to appointment including all medical reports and radiology scans from outside hospitals/offices.
3. Book diagnostic imaging for patients as ordered by the provider. Obtain prior authorizations when appropriate. Notify patients of appointments.
4. Screens incoming correspondence/reports received via mail and fax for all members of the department.
5. Scan all patient information in two systems. Keep accurate and updated medical record for patients.
6. Maintain providers' daily schedules in two different scheduling systems.
7. Review departmental charges daily, order various department supplies and enter work orders.
8. Maintain and distribute meeting lists and monthly on call schedules throughout the hospital.
9. Use the telephone system effectively; present self in a pleasant and helpful manner; receive and transmit messages accurately and efficiently and respond appropriately.
10. Accept and process copayments from patients using Health Pay System.
11. Travel to and provide coverage at the Clark Cancer Center in Falmouth when needed.
12. Perform other work related duties as requested/directed.

• Ability to Read, write and communicate in English.
• High School Graduate or GED Equivalent.
• Ability to type 40 wpm.
• Successful passage of a Medical Terminology course or successful passage of the CCH Medical Terminology challenge exam.
• Experience with Aria preferred.
• Minimum 3 years medical secretary experience preferred.
• Basic knowledge of CPT codes preferred.
• Experience with obtaining insurance prior authorization preferred.
